Instructions on using Faculty and Program Evaluation

To enable Applicant Ratings in GRADS, the plan should designate an Owner.

  • Compile a list of access IDs for all faculty and staff in the program/plan who will be evaluating and rating applicants for admission.
  • Establish whether the evaluators want ratings and comments to be anonymous.
  • Establish the type of evaluator for each access ID.
    • Lead evaluators can mark their feedback as an overall recommendation.  Certain privacy settings can be configured to limit the display of others' feedback to lead evaluators only.
    • Standard evaluators have general access to rate and comment on applications.

2.  Add evaluator access IDs via GRADS Program Settings

  • Log in to GRADS (opens new window).
  • Select the appropriate Graduate Program or Certificate.
  • Click the Program Settings button.
  • Within the GRADS Settings section, click User Permissions for Applicant Ratings.
  • Update the table with the current list of faculty and staff making evaluations.
    • Add new faculty and staff to the table by selecting them and clicking Add Evaluators.
    • Remove former evaluators by clicking the X icon to the left of their rows.
  • Check the applicable boxes to designate evaluators as standard or lead evaluators and grant any other permissions needed.

3.  Configure rating questions and privacy. 

  • Log in to GRADS (opens new window).
  • Select the appropriate Graduate Program or Certificate.
  • Click the Program Settings button.
  • Within the GRADS Settings section, click Applicant Ratings.
  • Configure rating options.
    • Assign Reviewers – Allows faculty and staff to be designated as reviewers in User Permissions for Applicant Ratings. Reviewers can be assigned to applications and choose to view a list of their assignments only.
    • Rating Privacy section – Determine whether to let users see others’ ratings and whether/when to show commenters’ names.
    • Use Overall Rating – If enabled, the rating form will include a field for Overall Rating of Applicant with options from 1 (highest) to 5 (lowest).
  • Configure faculty rating questions, weighted rating bubble sheets, and application metrics. Please review the GRADS documentation for further detail.
